Do you actually need a CRM yet?

The most common CRM mistake isn't picking the wrong one — it's adopting one before you actually need it, or waiting too long after you did. Start with the readiness check below.

You're probably ready for a CRM if two or more of these are true

  1. You're regularly losing track of who you talked to, what you promised them, or when to follow up.
  2. More than one or two people need visibility into the same contacts or deals.
  3. Your spreadsheet has started breaking down — duplicate rows, no reminders, no real history of what happened.
  4. Your sales process is repeatable enough that a pipeline view (stages a deal moves through) would actually help, rather than every deal being too different to templatize.

Best for: most small businesses and solo founders getting their first real CRM, especially if marketing automation might matter later.

Pipedrive

From roughly $14/user/month

Built specifically for tracking deals through a visual pipeline, without HubSpot's broader marketing suite attached. Simpler to set up if deal-tracking is genuinely all you need.

Best for: sales-first teams whose main need is moving deals through stages, not running email campaigns.
